To keep the model running smoothly a wide variety of people volunteer to work together behind the scenes to make sure things work day to day. Alongside this are the many in character roles that come with their own unique responsibilities. This page attempts to document everything that each of these roles is involved in. Please note that none of these positions are paid - they are all volunteer-only.

Administrator

Admins handle the following duties, related to the systems and maintenance of Model Hogwarts, as well as being a final authority above all other teams. Note that whilst admins don't need to be capable of all of the following tasks, these are the core responsibilities of the team in which help is most often required. A list of current admins can be found with the .admin command.

Note that people who have been on Model Hogwarts for a total of less than three months, or who have shown little or unreliable activity on the server, are unlikely to be accepted as admin.

Systems Implementation

  • Overhauling channels.
  • Making bot additions and changes.
  • Keeping system/tutorial channels and wikis up to date.

Team Overseeing

  • Making sure teams run smoothly.
  • Filling in when extra are needed on the other teams.
  • Actively leading/being part of/providing needed context for any teams.
  • Being part of the conversation when hiring team members.

Community Managing

  • Answering general Questions & Answers.
  • Going over suggestions.
  • Doing private discussions.
  • Making sure a wide variety of people and viewpoints are represented during discussions.

Data Organisation

  • Managing sheets.
  • Maintaining the Google Folders and their permissions.
  • Keeping the documents up to date and visible to the correct people.

Moderator

Moderators handle all aspects of Model Hogwarts related to player relations. A list of current mods can be found with the .mod command.

Moderation

  • Keeping an eye on model channels to make sure rules are adhered to.
  • Taking action to prevent and deal with rule-breaking in situations where urgent intervention is needed.

Action Reports

  • Bringing complaints and reports of rule-breaking to the team.
  • Contributing to discussions about reports and the appropriate course of action.
  • Voting on proposed decisions and courses of action.

Public Relations

  • DMing people warnings, ban notifications and other moderator communications.
  • Logging actions taken in the logging channel and ensuring it is up to date.
  • Keeping the community informed of major ban reasons.
  • Managing and contributing to moderator private discussions.

Teams

The following teams work under the admin team's oversight to manage particular tasks or areas of the model. People who are settling into the model and want to find a way to give back, or have an interest in one particular aspect, are encouraged to start by applying for one of these teams.

Applications Team

  • Read applications and discuss then with the team.
  • Give a final opinion on all applications.
  • Send approve/deny messages.
  • Log approved apps in a Google spreadsheet.
  • Work with denials to give feedback for a potential reapplication, or find alternative solutions to progress the character's story.
  • Manage and contribute to apps private discussions.
  • Discuss and give opinions on pricing questions.

Community Team

  • Brainstorm ideas for events and groups (e.g. book clubs, playing a game) that will help foster the OOC community of the server.
  • Liaise with admins about how to best implement these ideas.
  • Host and manage these events.

Events Team

  • Coming up with new, exciting events based on holidays, as well as other activities that can be participated in model wide.
  • Hosting said events, either with prompts or live NPCs.
  • Organising forms for certain events, such as Valentines.
  • Keeping the #calendar channel up to date.

Learn Requests Team (Grimoire)

  • Making sure that stat/learn requests are correct.
  • Handling requests from members to edit spellbooks.
  • Do stat requests from winter/summer.

Plotrunner

  • Planning and running an overarching story (of about one in character year/6 OOC months, typically) that allows opportunities for members across the server to take part in.
  • Working with the rest of the plotrunners to play assorted NPCs, potentially run adventures, events and other activities that weave into this overarching narrative.

Quidditch Management

  • Overseeing Quidditch matches at Hogwarts: generating scores, ensuring all players contribute to the Google document, writing commentary and running the matches as events.
  • Ensuring house Quidditch captains complete their responsibilities such as posting Quidditch application/tryout messages at the beginning of the school year, and creating a roster in a timely manner.
  • Reviewing applications for captains, where there is a vacancy, and choosing the most appropriate candidate.
  • Facilitating and authorising Quidditch-related worldbuilding on the Worldbuilding server.
  • Optionally, Quidditch management team members may also contribute to the generation of British and Irish Quidditch League results and storylines.

Sorting Committee (Sorters)

  • Greeting new joiners to Model Hogwarts, talking to them and answering questions.
  • Reading character sheets in #characters, ensuring they are within the rules, and pointing out any problems.
  • Giving accepted characters the relevant roles.
  • Bringing trolls and any suspicious behaviour from new joiners to the Moderators' attention.

Vendor Team

  • Maintain the flow of the #token-queue by processing purchases in a timely manner.
  • Ensure that purchases are within the scope of the token queue, and direct the purchaser to the apps form if not.
  • For Apprentice purchases, ensure that the purchaser understands the purchase and fulfils the requirements.
  • Log purchases in a Google spreadsheet.

Professors

Professors sit in an unusual grey area in the model - whilst they are an in character title, they come with far more responsibilities than typical in character positions. One may apply for an in character Professor who is roleplayed as a teacher, or out of character Professor duties which involves managing the lore of the subject, or both. A list of current in character Professors can be found with the .prof command.

If you prefer, you may request an interview with an admin, which will be conducted by DM. Requirements are IC: Age 19 years minimum. OOC: Student starter - Grad B. Adult Starter - Grad A. Application. 3 month minimum on the server. Note that people who have been on Model Hogwarts for a total of less than three months, or who have shown little or unreliable activity on the server, are unlikely to be accepted as Professor. ===In Character Powers===*Professors can give and take house points from all students.

  • Professors can give punishments to students, such as detention.
  • Professors can sponsor clubs.
  • Professors have limited authority to enter closed scenes in order to discover and punish rule-breaking, as detailed below.

In Character Responsibilities

  • Host two classes a year, per year canon year your class teaches - one to seven for core classes, three to seven for electives. This can be split between your department if you have multiple Professors.
  • Professors may only be part of one department.

Out of Character Responsibilities

  • Answering questions specific to your subject from the #questions channel, as well as discussing them with the rest of your department or other departments if needs be.
  • Some subjects may be responsible for helping to oversee some systems, such as spells, potions or creature pricing.
  • Archiving model canon around your subject, as well as researching existing Harry Potter canon to use in the model.
  • Monitoring and hosting discussions on the worldbuilding server to get a wider view on what the model is looking for from your subject.
  • Logging your completed classes on the worldbuilding server.
  • Professors may optionally maintain a page about their class on the model wiki.

Discovering Rule-breaking

In order to reasonably exercise their in character responsibility to keep order within Hogwarts, Professors have the ability to step into closed RP scenes that involve rule-breaking, which other characters would not normally be permitted to. Head Students and Prefects have the same power. All of these authorities:

  • May enter a closed scene in a public place without permission, if it involves bullying or explicit violence. They may also do so if characters' IC actions would reasonably attract attention to an otherwise out-of-the-way location, such as shouting or explosions. Before entering, they must alert the RPers in the scene, and clarify whether there are any spells, people keeping watch, or any other circumstance that might hinder them from entering the scene, or alert the rule-breakers to their presence.
  • May ask permission to enter any other rule-breaking scene where there is a realistic chance of discovery, but those in the RP have the right of refusal. If the RPers disagree on whether to allow the authority entry, then the victim of the rule-breaking, if there is one, has final say. Pressuring someone OOC whose character is being hurt to refuse intervention is not allowed and will be dealt with severely. Once again, any spells, lookouts and so forth must be clarified prior to entering the scene.
  • Are not obliged to intervene, or ask to intervene, if they become aware of a scene involving rule-breaking. The authority's RPer may choose not to have their character enter the scene, at their own discretion.
  • Are not precluded from discovering a rule-breaking scene if another Professor, head student or prefect has already entered the scene. Mutliple authorities are permitted to enter, together or at different times, with each one subject to the same rules outlined above.

The above rules apply to all channels within Hogwarts, including scenes in miscellaneous and long-term channels that are set within Hogwarts. Retconning scenes or IC actions so as to prevent authorities from discovering the scene or your character from receiving consequences is not permitted, due to the potential for abuse.

These rules are an attempt to find a balance so that people can roleplay both rule-breaking and law-enforcing characters appropriately without feeling unnecessarily limited. So please use common sense: there are some circumstances where an authority figure intervening is logical and appropriate, and others where more discretion should be used, particularly when the rule-breaking is discreet or well hidden. If you ever think anyone is trying to misuse these rules, either to avoid being discovered or inappropriately force discovery, please contact the moderators.

Professor's Assistant

Professor's Assistant is one step up from teaching assistant but one right below Professor. It is basically an apprenticeship in grad years to fill the time between graduation and being able to become a full-fledged Professor. It is a way for people to learn and be taught what is needed to be a Professor before actually becoming one; as such, having this could help strengthen apps for full Professorship.

Accepted behavior for assistants would be like that of Professors: professional behavior in the classroom with students and other faculty members. This includes, but is not limited to, no romantic relationships with students, refraining from using non-authorised spells to subdue unruly children, avoiding favoritism towards friends and relatives, avoiding altvantage, and following general MH rules and codes of conduct.

  • You do not gain the in-character title of Professor. You are strictly an assistant, although it's expected most people applying for this will be working towards being a full-time Professor.
  • You may be an assistant to only one subject.
  • The "you can't RP two Professors" rule doesn't apply here, so existing Professors can apply for Professor's Assistant if they want. However, you can't take on two core classes, e.g. you can't do both DADA and Herbology. You can apply to have multiple Professors/assistants for the subject you already teach, though. (Core Classes Are: Astronomy, Charms, Defense Against the Dark Arts, Herbology, History of Magic, Potions, Transfiguration).
  • Existing Professors who want to take on this role may request a PDQ with the Admins, with the Professors/assistants currently in the subject department also included in the chat. Non-Professors may submit an app using the Professor application form.
  • You can be a Professor's Assistant for a department only if the subject already has at least one full Professor. That Professor will be consulted on whether they're willing to take you on as an assistant. It is highly recommended to ask before submitting your app, just in case they're not accepting assistants.
  • Assistants may teach a maximum of only two year groups at once.
  • Assistants may be any age above school (at least GradA). This ICly and OOCly gives people the chance to do something/learn the ropes in the IC year before they become a full-time Professor.
  • Assistants are IC only. They get no OOC worldbuilding authority for that subject.
  • Assistants do not get roaming access to Hogwarts - they're there strictly for classes. The character is part-time, does not have an office, and comes into the school only to help with classes.
  • Assistants stay for a maximum of only one or two IC years. Those who don't have an existing Professor may transition to being a full Professor after one IC year.

In Character Positions (Hogwarts)

The following positions are held by characters at Hogwarts, and applications will be sought when necessary. People with these positions have power over certain things that happen in character, but no out of character authority. As such, they are usually granted to characters for whom it makes the most in-universe sense: for example, a diligent student will typically be chosen as prefect over a known rule-breaker.

The number of in character positions a roleplayer currently holds, or has held in the past, will also be taken into account. All else being equal, it is preferred to spread out these positions as much as possible, and avoid having any individual accumulate a large number of roles.

Headteacher

  • Select two Head Students per year from the interest form - send them their acceptance letter.
  • The Headteacher will typically be the final call for major punishments, such as expulsion.

Deputy Headteacher

  • Act as the Headteacher's second in command and confidant.
  • Act as backup for all the Headteacher's duties when they're absent.

Head of Department

  • Head of Department is an honorary title flavour title, typically only used in departments with singular Professors or for RP fluff.

Head of House

  • Select two prefects per year from the interest form - send them their acceptance letter.
  • Make sure your house maintains a Quidditch Captains - send them their acceptance letter.
  • Host semi-regular House Events.
  • The Heads of House will often be reached out to for punishments for students from their house.

Head Student

  • Acts as the head of prefects', keeping them organised.
  • Can give points to all students, excluding yourself.
  • Can take points from all other students, excluding your fellow head student.
  • Can sponsor clubs.
  • Has limited authority to enter closed scenes in order to discover and punish rule-breaking, as detailed above.

Prefect

  • Can give points to all students, excluding yourself.
  • Can take points from other students, but not prefects or head students.
  • Can sponsor clubs.
  • Has limited authority to enter closed scenes in order to discover and punish rule-breaking, as detailed above.

Quidditch Captain

  • Put out interest form for your team members.
  • Put together and keep together your team and their positions, including NPCs if you have less than seven real players.

Club Leader

  • Organise and host club meetings and activities themed around your club.

Librarian and Healers

  • Librarians administer the Hogwarts library and assist students with finding information. Healers work in the Hospital Wing.
  • Requirements:
    • IC: Age 19 years minimum
    • OOC:
      • Student starter - Grad B.
      • Adult Starter - Grad A.
  • During the one-year gap for student starters, librarians and healers in training may understudy with the current healers and librarians at the school.
  • Existing characters should place a request in #roles-job-requests, and sorters will adjust your roles to match. New characters should include the job title in the Job section of their character sheet.

Groundskeeper and Caretaker

  • Groundskeepers maintain the grounds of Hogwarts. Caretakers maintain the cleanliness and hygiene of the castle.
  • Allowed to be a fresh graduate or someone who left at NEWTs and new to the server.
  • IC: Age 17 years minimum.
  • Existing characters should place a request in #roles-job-requests, and sorters will adjust your roles to match. New characters should include the job title in the Job section of their character sheet.
